1 - Introduction

Your employees have to know and have to master notions, usually called competencies. You need to make sure of that and, sometimes, you might even have to prove that they do.

The Traditional Way.

The traditional way for knowledge and know-how to be imparted is to have teachers and students. Students learn from teachers and then prove that they have assimilated the notions, proving their competency.

What are you to do? You can fill out forms in triplicates, file reams of papers and hope you didn't miss a single signature or attendance sheet for a training that took place 2 years ago.

This traditional process is a costly, time-consuming proposition.

The OMNI-ASSISTANT Way.

Instead, use the Omni-Assistant's Learning Management System, or LMS for short. Save time, headaches and make sure that everything's on track.

Define competencies, create lessons and evaluations, and package them into courses. Then it's simply a matter of tracking who's taken a course, and when, which the Omni-Assistant does for you.

You have the ability to use many different types of lessons: Word documents, presentations, face-to-face training sessions, videos, and more.

Evaluations can be the observation by an instructor of an employee's demonstration of a competency. They can also be a multiple-choice questionnaire. The questionnaires allow you to build a bank of questions, with one or more correct answers, and which can be weighted as you see fit. Evaluations can be timed and you set the passing grade.

When you have all this, you can package lessons and evaluations in courses. Courses grant competencies and can automatically issue certificates.

2 - All in one

The Omni-Assistant’s LMS – Learning Management System is a way to automate, streamline, simplify and monitor the acquisition of competencies by a number of individual users.

Automate

As a user is part of a department, of a role, or works in a site, the list of required competencies is created and updated. If the role, department or site is changed, so is the list – without human intervention.

Streamline

The LMS makes more efficient the learning and teaching process. Everything that is taught without human intervention generates savings and ensures that instructors only perform value-added tasks.

Simplify

The LMS allows the creation of elements (lessons, evaluations, competencies) that are part of several courses. You create the content once and use it in as many places as needed. Further, every user knows automatically which courses they have to take as well as the deadline for them.

Monitor

In a few clicks, it is possible to see which competencies a user has, until when they are valid, how much time remains for a user to complete a course, or if they're late. It is also possible to monitor evaluation results for a user, thus gaining valuable insights as to what notions the user is struggling with.

The LMS is the single tool you need to bring all your training challenges under control.

3 - Functionalities description
A Simple Structure

Departments and roles can require that a user possess a competency, which is granted by a course.

Permissions

There are three kinds of permissions:

  • User: Takes courses and receives competencies

  • Instructor: Can create and teach courses; manages evaluation of users and enrollment

  • Administrator: Monitors all courses, instructors and users.

Competencies

A single competency can be required by any number of departments, roles or sites. Competencies are awarded for the completion of evaluations and courses. They can be valid forever or have an expiration date: a specific date or a given number of days. In the latter case, should a user re-acquire a competency that was still valid, it is the furthest expiration date that is retained.

Lessons

Lessons are used to impart knowledge to the users. This is done via either a file of any format (document, audio, video or slides), webinar or live teaching. The lesson must have a title, but may also include a summary and an excerpt, which the instructor can use to provide relevant information. Once created, lessons can be added to one or several courses. Users can access lessons in English or in French, depending on their profile. Lessons can have a duration, which is arbitrarily set by the instructor. Once done with the lesson, users can mark it as learned.

Evaluations

An evaluation is the formal assessment of a user's learning, or level of mastery of a competency. The evaluation, like the lesson, must have a title and can also include a summary and an excerpt. An evaluation can be a quiz or a demonstration to an instructor.

  • A demonstration can be requested by a user that has completed a lesson. The instructor receives the requests and plans the demonstration, and then reports the results in the Omni-Assistant's LMS via a quiz.

  • The quiz is a series of multiple-choice questions. The course creator can create a bank of questions from which questions will be picked at random (X out of Y questions), as well as the points (weight) awarded to each. It is possible to include images in the questions. Each question can have multiple correct answers, which the instructors can opt to reveal or not to the users, once the evaluation is completed. A user must acknowledge evaluation results, in all cases.

  • A quiz can be timed. If it is, the evaluation will automatically close when the timer runs out. At this point, the correct answers are tallied and the result is given.

  • A quiz has several settings to customize the evaluation further. A maximum number of attempts can be set, along with a minimum delay (in days) between attempts. Finally, an evaluation can require up to two approvals to be considered complete.

Courses

Courses are the main element of the LMS, the “packages” that users must take and complete. Once completed, they grant competencies. A course must contain at least one lesson or evaluation, but may contain an unlimited number of either. For example, it would be possible to have 2 lessons, followed by an evaluation, 1 more lesson and a final evaluation. The course's outline lists all lessons and evaluations it comprises, and the order in which they must be taken. Courses are also grouped thematically with tags.

Courses can be taught by one of more instructors, and can be mandatory (nor not) for some or all departments or roles. Registering for a course can be done automatically or can require the approval of one of the instructors.

Instructors can post announcements relating to courses, and users can make comments in the course's discussion thread.

Instructors can opt to indicate the duration for the course, and can provide the title, excerpt and description in English and / or in French. A deadline can be set for users to complete the course; existing users can have a set date while new users can be given a number of days or weeks.

Courses can grant competencies to users that successfully complete them and can also grant them template-based certificates of completion.
